Student Billing Deadlines – Taking a Proactive Operational and Communication Approach
Fall term 2026 is upon us, and the below approaches, if not already in place, should be considered during late enrollment for this term and, at the latest, be in place before the next term.
For high school counselors, understanding how colleges approach billing and outside funding can also help when working with students and families who have questions about their college bills.
Funds Management Decision
What funds are allowed to be placed on the student’s bill as pending or anticipated? Examples are U.S. Veteran’s funding, long-term national scholarship programs, local long-term scholarship programs, and vocational rehabilitation funding. The answer will normally be no when it involves a brand-new local small-dollar scholarship program for one student.
Counselors can encourage families to confirm directly with the college whether an outside scholarship or other expected funding will actually be reflected as pending or anticipated on the student’s bill.
How to Make These Decisions
Remain in regular contact with these outside funding organizations. Email them and set up an online meeting to discuss what might be the same or different related to their funding and awarding process for 2026-2027, and the timelines for funds to be disbursed into the student’s bill. Also let them know about any new college staffing and procedures that have changed at your college or university.
Communicating this Decision
If you make the decision to allow for some funds to be placed on the bill as pending and anticipated, online on the bill and through other institutional notification methods, outline what anticipated and pending aid means. Be clear about the deadline for payments.
Does your office have a practice of changing your billing process? Have families become used to this process and rely on it for extra time? Answering these types of questions will help you to know how to move forward with messaging.
For counselors, this is another area where encouraging families to read billing communications carefully and ask questions early can help prevent last-minute problems.
Financial Aid, Billing and Enrollment Management Planning
Federal Direct PLUS Loans
A heavy dependency on Federal Direct PLUS Loans, which involves a parent borrowing funds for their undergraduate students, has always been a risky enrollment management plan. Parents with excellent credit might max out their income-to-debt ratio after using this line of credit for a few years of school expenses. With the lower borrowing amounts available for 2026-2027, this will become more challenging.
Counselors may increasingly hear from families who had planned to use parent borrowing to cover a remaining balance, making earlier conversations about the full cost of attendance especially important.
Private Loan Company Meeting
Numerous private loan companies are planning for more applications starting with the 2026-2027 academic year. Schedule online or in-person meetings, outline areas of need, and ask for clear expectations for students to borrow with and without a cosigner, approval and rejection rates, instead of giving families blind referrals that would not potentially be a good fit.
Financial Planner Meeting
Meet with a financial planner who regularly assists families in paying for college expenses. Obtain from them the options they would suggest families consider.
While not considering promoting a financial planner’s services, review ideas to include some of this information in future financial aid planning workshops, websites and materials before students enroll. As needed, include your internal lawyers and marketing team in decisions due to you now considering specific wording and referrals to outside websites and information.
This approach can cut down on two things.
One, families are looking for funding opportunities when in an emergency to pay the bill.
Second, this type of information can place the college affordability decision up front before enrollment, instead of waiting for a financial aid award notification first to take care of all or almost everything.
